How to see all correspondence relating to a query in one place

We would like to see all correspondence relating to a query in one place, not some on the CRM and some on external email etc. Otherwise building that knowledge base and tracking the journey of a query (and the subsequent analysis and information that can provide) will be difficult. Additionally, if we want to encourage members to use the portal as a one stop shop then it needs to generate and receive all from within. Can a request be made that if a member responds to a portal generated query and/or we respond all correspondence regarding that comes into the portal query system not as emails?
